Executive Assistant
Club Capital is seeking a dynamic, experienced Executive Assistant to perform a myriad of administrative tasks and support the owner in various business and personal affairs. The ideal candidate must be capable of managing a diverse workload and prioritizing tasks in a fast-paced, constantly evolving environment. To be successful in this role, you should be an exceptional multitasker, well-organized, have excellent time management skills, and be able to perform tasks with minimal guidance. The ability to learn and adapt to new technologies and opportunities as we move into the next evolution of our business. Ultimately, you will contribute to the efficiency of the business by providing personalized and timely support to the business owner. The ideal candidate has experience delivering top-tier executive support while being eager to contribute to the firm s success with a resounding positive attitude. Given the dynamic nature of the executive landscape, the executive assistant is relied on to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Prior experience in Financial Services, Real Estate, Public Relations, or as a high-performing marketing manager is preferred but not required.

Schedule: Full-time | Hybrid (65/35, office/ remote work after systems set up and executing)

Responsibilities include but are not limited to:
· Provide diversified day-to-day administrative and support functions.
· Coordinate scheduling and calendar management for customers and events.
· Must thrive and maintain composure in an ever-changing, fast-paced environment.
· Prioritize Outlook calendar items on behalf of professionals, informing them of meeting changes and keeping them on schedule throughout the day.
· Arrange travel, book accommodations, and prepare itineraries.
· Meeting scheduling, preparation, and follow-up.
· Conduct research and analysis for strategic projects.
· Handle a wide variety of confidential and sensitive information.
· Act as the point of contact among executives, employees, clients, and other external partners.
· Knowledge and use of most used software apps for productivity and social media.
· Ad-hoc reports, projects, and event planning.
· Supporting business development and client activity.
· Email and phone screening.
· Light bookkeeping.
· Be a supportive force to empower senior leadership.
· Working with minimal direction and being able to exercise judgment, creativity, and analytical thinking.
Requirements and skills:
· Bachelor's Degree preferred but not required.
· Minimum three years of experience in executive support within financial services preferred.
· Polished, professional, and poised.
· Proactive and efficient. Attitude matters.
· Highly motivated with a willingness to take initiative is a must.
· Work with integrity, discretion, and confidentiality.
· Meticulous attention to detail is maintained at every level. Our customers expect it.
· Strong interpersonal skills and ability to work collaboratively with teammates and clients.
· Excellent verbal and written communication skills, including proofreading and editing capabilities.
· Advanced proficiency in current Microsoft Office Suite applications (Word, Excel, PowerPoint, and Outlook) and the ability to utilize company-specific software and databases.
· Self-motivated a "can-do" attitude with an entrepreneurial spirit and a desire to take on an increasing level of responsibility.
Compensation and Benefits:
· Salary: $72,000-$90,000 based on experience and referrals. Actual compensation for the successful candidate will be determined based on skills, qualifications, and experience.
· A year-end bonus at the employer's discretion with a quarterly performance review.
· Health benefits provided after 60 days of employment.
· The 1099 Contractor Option could be considered for the right candidate.
