This is a part time Position with 25-30 hours.

It will be critical to have a good customer service background, good listening skills, the ability to multitask, and a penchant for details.

Requirements:
  • This position will back up the dispatcher/Technician team and will have heavy customer interaction both on the phone and through emails as well as some billing.
  • Looking for high energy upbeat mentality individuals that can continue to elevate the professionalism of our team. 
  • Must be self motivated, and a can do attitude with a solid background in customer service, intercompany skills and have the ability to multitask in a fast paced environment.
  • Bilingual desired.
  • Prefer some experience in dispatch service positions, plumbing, electrical, construction etc.

Job Description Specifics:
  • Full Time - Monday thru Friday with rotating Saturday and the following Monday off.

Customer Service Assistant /Dispatch Job duties:
  • Invoicing to customers - Cross Training.
  • Continuous invoicing of all simple/complex jobs as they are completed within a 2-5-day timeframe continuously.
  • Prior to completion ensure all information necessary to finalize the invoice has all the critical information necessary to ensure immediate payment by the customer, e.g. PO number, description, etc.
  • Manage customer billing systems enter invoicing to systems.
  • Manage customer Database by updating with new customer information/ contact - address.

Back Up and learning:
  • Critical customer service/dispatching assist; managing day to day management of jobs and technicians to meet on time arrival of technicians to customer locations in the most efficient manner. 
  • This includes calling customers to advise of time arrival revisions throughout the day. 
  • Advising technicians of changes to their schedule.
  • Assist Commercial/residential customers with an understanding of our services and scheduling process as necessary.
  • Update internal staff on tech status and changes/upcoming jobs.
  • Check ES E-mail for customer appt. requests/enter scheduling system/manage job requests.
  • Primary responsibility for obtaining all PO Numbers for Jobs as required by Customers.
  • Aide service techs by getting information/calling customers /confirmations.
  • Check Voice mails, return calls main phone line.
  • Update and enter revised information as it become available into company scheduling system/ communicate to other staff.
  • Run Credit cards as necessary.
  • Ensure that jobs are cloned and moved at the end of the day as necessary.
  • Update customer database contact and personnel information as needed to assure accuracy; check weekly for changes.
  • Dispatching and tech monitoring.
  • Manage and track Technician hours on a weekly basis and send a report.
  • Collect various technician related sheets and manage the daily paperwork generated from service team.

Saturday schedule as Required:
  • Dispatch and manage Scheduled jobs making sure that all jobs are completed prior the end of day for each customer; keeping in mind the start time will vary between properties on the weekend. (1-or 2 per month with following Monday off.)

Job Type: Full-time.

Salary: From $17.00 per hour.

  • Service related industry (hvac, carpet, remediation, etc.: 1 year. (Required)
