Stock Management Coordinator
Job Summary:
- The inventory specialist helps manage the pharmacy's supply chain and ensures that items are available to customers by implementing good practices.
- They are also responsible for ensuring that the front end and on-hand balances are correct, as well as pricing through review, organization, and proper utilization of reports/system applications.
- This position involves enforcing front-end/asset protection protocols in addition to processing claims on merchandises (shortages/overages) and damaged goods especially drugs prescriptions among others.
- In such stores where required even without any management present there should be employees assigned to open or close the premises. These designated individuals must initiate necessary systems; operate cash registers of stores while preparing business day area.
Customer Experience:
- Greets customers with a smile and helps them make choices. Resolves customer complaints at floor level and answers questions promptly and positively so as to create an enjoyable shopping environment.

Operations:
- Aids in teaching and coaching teammates about the best ways to handle warehouse and supplier stock by focusing on areas such as purchase creation, examination, and approval.
- Records every delivery received while the vendor is still present, including those made by common carriers. Promotes the use of One Box receiving. Takes necessary steps like accepting physical delivery of goods or contacting suppliers for tardy scheduled deliveries or opening service tickets to correct any wrong orders.
- Checks with pharmacist-in-charge to ensure each pharmacy shipment that should be physically in store has been properly posted; fills or validates daily all pharmacy warehouse orders, ABC prescription & OTC orders, secondary vendor orders, flu & dropship orders; performs tote audits as required; reports shortages/inaccuracies correctly.
- On-Shelf Availability (OSA) process is a critical function for ensuring timely presence of products on shelves. This entails managing product flow from warehouse through direct store delivery (DSD) departments, disposal/handling of disposals, call-ins/vendor returns; additionally ensures scan outs/scan out returns are done on all subscribed depts., including vendor/DSD and pharmacy depts., during OSA process.
- Also verifies posting of all pharmacy/prescription claims
- Is primarily accountable for appropriate pricing of individual department items – prices must be updated daily with correct signage posted reflecting changes made.
- Monitor Pharmacy Manual Orders for excess orders so inventory can be properly managed
- Confirms exact qty's of designated pull & quarantine items then moves them into designated storage zone(s) for containment purposes
- Ensures inventory accuracy by ensuring accurate counts are performed on all on-hands quantities for products found throughout store(s), including basic sections/stockrooms/extraspaces.
- Pharmacist-in-Charge oversees accuracy of on-hand quantities & takes necessary action(s) to resolve discrepancies when needed
- Maintain store inventory compliance with State / Local authorities regarding Controlled Products (Tobacco / Alcohol)
- Assists in inventory management by updating inventory systems with front-end product receipts. Keeps clean & organized record keeping system for all invoices/receipts/return authorizations used for inventory activities.
- Assist in prepping for physical inventory count & assist on day of stock take (organize sales floor/stockroom/pharmacy for Inventory purposes, monitor 3rd party teams audit)
- Encourages employees to prioritize keeping counters (& shelves) clean/appealing to customers
- Demonstrated knowledge of various store systems and tools
- Works closely w/ management to ensure timely completion of all package deliveries & returns.
- When tasked as LOD, must fully register all sales on assigned POS system(s) in Designated Stores; keep record(s) of any discrepancies such as mis-scanned items or incorrect prices & ensure accurate processing of all cash transactions (as well as facilitating product returns, voids, refunds, change etc.).
- Adheres to & prioritizes respectful / cooperative connection(s) with colleagues in accordance w/ prescribed policies/procedures.
- Executes other duties and additional jobs when needed.
Training and Development:
- Ensures that employees participate in company-sponsored training programs to promote professional development, and shows a commitment to learning by completing all online courses, including those on safety which are compulsory
- An applicable pharmacy license/certification for the respective field must be obtained and continuously kept according to state laws.
Communication:
Acts as a go-between for management and non-management staffs through advice on inventory systems. Delegates allocated duties when functioning as a supervisor and communicates customer complaints together with disciplinary matters to higher levels of administration.
Basic Qualifications:
- The ideal candidate will have retail knowledge combined with 12 months previous work experience.
- Except in Puerto Rico, one has to demonstrate excellent command of English language particularly in reading, writing and speaking.
- Applicants must be willing to work flexible hours including evenings and weekends as required by the job mandate.
- Displayed remarkable ability to perform multiple tasks accurately within tight timelines
- A b troubleshooter with skills in identifying operational challenges then developing appropriate remedial measures
Preferred Qualifications:
- This position considers experience as shift lead; pharmacy technician; designated hitter or customer service associate more favorably than other qualifications.
- Previous work history plus evaluation on record is desired by Walgreens during recruitment exercises.
